Microsoft Dynamics 365 Business Central Pricing Explained

One of the most common questions we hear is: “How much does Microsoft Business Central really cost?” Usually, less than businesses expect.

How much does Business Central really cost? The three costs: implementation as a one-off project, support as a monthly service and licences per user per month

But there's an important distinction to make. The cost of Microsoft Dynamics 365 Business Central isn't just the monthly licence price you see advertised by Microsoft.

To understand what Business Central will actually cost your business, you need to consider three things:

  • Implementation – getting Business Central configured and your business live.
  • Ongoing support – access to experts once you're using the system.
  • Microsoft licences – the recurring subscription you pay for users.

Understanding these separately makes comparing Business Central partners and budgeting for your ERP project considerably easier. This approach gives you complete visibility over what you're paying for.

Let's break each one down.

Key Takeaways

  • Business Central costs come in three parts: a one-off implementation project, monthly support and Microsoft's per-user licences
  • Our fixed-price implementation starts from £8,600 / $11,650, with functional packs at £4,200 / $5,700 each
  • Support plans run from £399 to £999 a month depending on how much of the system you use
  • Microsoft licences are £61.50 Essentials, £84.60 Premium and £6.20 Team Member per user per month, paid annually (correct as at August 2026 – check Microsoft's current pricing)
  • A low headline figure on any one of the three tells you very little about the total investment

How Much Does Microsoft Business Central Cost?

The total cost of Business Central depends on the size and complexity of your organisation, the functionality you need and how many people will use the system.

For most businesses, the total investment breaks into three areas:

CostWhat you're paying forHow it's charged
ImplementationDiscovery, configuration, migration, testing, training and go-liveOne-off project
SupportOngoing technical and user supportMonthly
Microsoft licencesAccess to Business CentralPer user, per month

A low monthly licence price doesn't tell you what implementing the system will cost. Equally, a low implementation quote isn't necessarily cheaper if support, development and change requests quickly start adding up.

The best way to compare Business Central costs is to understand the total cost of getting live and operating the system, rather than focusing on a single headline figure.

1

Business Central Implementation Costs

The implementation project covers the work required to take Business Central from an empty system to something your team can actually use day to day.

This is where the traditional ERP model tends to put most of your money, and where our implementation approach deliberately differs. Many partners charge a large upfront fee to scope and design your system before a single part of it is configured. Months of discovery, requirements that go out of date before go-live, and most of the budget spent before the business sees any value.

We don't charge a separate scoping fee. Our curation expertise is built into the pack price, so more of your investment goes into a working system and a typical go-live lands in around eight weeks rather than eighteen months.

Upfront-heavy (traditional)Fixed-price packs (Truly SMB)
Large scoping phase before any deliveryStart with a defined, fixed-scope pack
Significant upfront cost before you go liveNo separate discovery phase or scoping fee
Everything designed before you know what you needFocused on what matters most, first
Longer time before you see any valueTypical go-live in around eight weeks

Both approaches can deliver a working ERP system. Ours gets you there faster, with less upfront cost.

A typical Business Central implementation includes:

  • Business process discovery
  • System configuration
  • Data migration
  • User training
  • Testing
  • Go-live support

The final implementation cost depends on the complexity of your processes, the amount and quality of data being migrated, integrations with other systems and any add-on functionality required (ISVs).

Customisation can also have a significant impact. That's why we generally recommend using Microsoft's standard functionality and best-practice configuration wherever possible rather than heavily customising Business Central from day one. Our implementation approach and implementation roadmap both set out how that works in practice.

The project is a one-off investment that provides the foundation for your future growth.

How Truly SMB Prices Business Central Implementation

We've created fixed-price implementation packs designed around the size, requirements and complexity of growing businesses. Every pack includes setup and configuration, training, go-live support and expert curation, and you get access to the full Business Central platform rather than a cut-down version.

Implementation packPriceWho it's for
Starter ImplementationFrom £8,600 / $11,650Businesses moving away from spreadsheets or basic accounting systems and starting their ERP journey
Inventory£4,200 / $5,700Stock-selling businesses
Project Accounting£4,200 / $5,700Contracts and project-based businesses

Business Central has loads of functionality for different industries, so selecting only the packs you need means you don't pay for anything you don't. You can add more functionality later, once the system is running and embedded with your team. For example:

Two worked examples

  • Stock-selling business: Starter £8,600 / $11,650 + Inventory £4,200 / $5,700 = £12,800 / $17,350
  • Contracts business: Starter £8,600 / $11,650 + Project Accounting £4,200 / $5,700 = £12,800 / $17,350

Think of it like a buffet. When you pay for a ticket, you're entitled to everything on the table – and nobody charges you extra to decide what goes on your plate. Our packs work the same way: you have access to the full Business Central platform, and we're the expert helping you build the right starting plate, in the right order, so nothing is wasted.

A contracts business might not need inventory, but will need the project accounting area of Business Central set up. A modular approach means you implement the areas your business needs first, then add more when you're ready rather than paying to configure functionality you won't use for a year.

2

Business Central Support Costs

The second cost to consider is what happens after you've gone live. Business Central isn't a system you implement once and never touch again.

Your team may need help. New employees will join. Processes will change. And as your business grows, you may want to take advantage of more of Business Central's functionality.

Ongoing support can include:

  • Access to Business Central specialists
  • Technical support and troubleshooting
  • User assistance
  • System guidance and best-practice advice
  • Ongoing optimisation

Many businesses find that support becomes increasingly valuable as they grow and begin using more of Business Central's capabilities. It's typically provided as a recurring monthly service. You can see what's covered on our Business Central support page.

Truly SMB Business Central Support Pricing

Support planMonthly price
Bronze£399 / $550
Silver£699 / $950
Gold£999 / $1,350

Prices depend on how many areas of the system you're using and whether the system has been customised heavily (which we don't recommend).

It's worth asking any potential Business Central partner exactly what's included within their support price, what response times apply and what would result in an additional charge.

3

Microsoft Business Central Licence Pricing

The third part of the cost is Microsoft's licence fee. Business Central is a cloud-based subscription service, so rather than buying the software outright, businesses pay for licences according to the users and functionality they require. The subscription gives your team uninterrupted access to the platform and Microsoft's ongoing updates as standard.

Microsoft currently offers three primary licence types. The figures below were checked against Microsoft's Business Central pricing page in August 2026.

Microsoft licence prices can change. Always confirm the current figures on Microsoft's pricing page, or ask your partner to confirm them for you, before you budget.

LicencePrice per user/month (paid annually, August 2026)Best for
Essentials£61.50 / $80Most SMB users running daily operations
Premium£84.60 / $110Manufacturing and field service operations
Team Members£6.20 / $8Light users who read, approve and update

Business Central Essentials Licence

At £61.50 / $80 per user/month (August 2026), Essentials is the most common licence and the one most growing businesses will use. It includes:

  • Financial management
  • Sales management
  • Purchasing
  • Inventory management
  • Warehouse management
  • Project management
  • Reporting and dashboards
  • Microsoft Copilot capabilities within Business Central

For most small and medium-sized businesses, Essentials provides everything needed to run daily operations.

Business Central Premium Licence

At £84.60 / $110 per user/month (August 2026), Premium includes everything in Essentials plus Manufacturing and Service Management.

This licence is generally required for organisations that manufacture products or manage field service operations. You shouldn't automatically assume you need Premium simply because it offers more functionality.

Business Central Team Members Licence

At £6.20 / $8 per user/month (August 2026), the Team Members licence is designed for employees who need limited access to the system. Team Members can:

  • Read information across Business Central
  • Approve workflows
  • Enter timesheets and expenses
  • Update certain records

Typical Team Member users include managers who approve requests, shop floor staff, warehouse personnel and directors who only need visibility of data. It's an excellent way to provide wider access without paying for full user licences.

All three prices above were correct in August 2026. Microsoft reviews its pricing periodically, so check Microsoft's current figures or ask your partner to confirm them before you commit to a budget.

Business Central Licensing: 5 Things to Know

1. Licensing is per user

Business Central is licensed by named user. Each person accessing the system needs a licence that matches how they use it, so it's worth understanding who actually needs access and what they need to do rather than buying the same licence for everybody.

2. Team Members reduce costs

Not everyone needs a full licence. Many businesses reduce costs significantly by using a combination of Essentials or Premium licences alongside Team Member licences.

3. Choose Premium only if you need it

Premium adds Manufacturing and Service Management. If your business doesn't require those modules, Essentials is normally the most cost-effective option and paying for Premium adds unnecessary recurring costs.

4. Business Central includes Microsoft Copilot

Microsoft includes built-in Copilot capabilities within Business Central, helping users automate tasks, generate insights and improve productivity. Exactly what's available can depend on the feature and Microsoft's current product terms, so it's worth checking when you're planning your implementation.

5. Licences are only part of the overall cost

This is probably the most important point. When somebody tells you what Business Central “costs”, ask what that number actually includes. Your budget should account for implementation, ongoing support and Microsoft licences together. Only then do you have a realistic picture of your investment.

Example: What Could Business Central Cost an SMB?

Here's a simplified example. Imagine a growing stock-based business requires:

  • Starter Implementation and the Inventory implementation pack
  • 10 Essentials users
  • 5 Team Members
  • Silver ongoing support
Cost areaCalculationCost
Implementation (one-off)£8,600 Starter + £4,200 Inventory£12,800
Microsoft licences (monthly)10 × £61.50 + 5 × £6.20 (August 2026 prices)£646
Support (monthly)Silver plan£699

So the initial investment is a £12,800 implementation project, followed by roughly £1,345 a month covering both licences and support. Exact licence totals depend on Microsoft's current pricing and billing terms at the time you sign.

The Costs People Forget to Ask About

Most Business Central quotes are compared on the three numbers above. The gaps between quotes usually sit somewhere else, so these are the questions worth asking every partner you speak to.

Scoping and discovery fees

Many partners charge a separate scoping fee before any part of your system is built, typically £20,000 to £50,000. We don't charge one – scoping is included in the pack price – but if you're comparing proposals, check whether the implementation figure you've been given includes discovery or sits on top of it.

Change requests and customisation

Heavily customised systems cost more to build and more to support, and they make every future Microsoft update a bigger job. That's why we configure Business Central to standard functionality wherever possible. Ask what counts as a change request under your contract and what it's charged at.

Training and go-live support

Both are included in our implementation packs, delivered just before go-live when it sticks. Not every partner includes them, so it's worth confirming rather than assuming.

Add-on products (ISVs)

Some requirements are met by third-party apps rather than Business Central itself. Those carry their own licence fees on top of Microsoft's. If a proposal relies on an ISV, ask what it costs annually, not just to install.

Support you use but haven't bought

Check what your support plan actually covers, what response times apply and what falls outside it. A low monthly figure isn't a saving if routine questions are billed separately.

Is It Worth It Compared With Sage, Xero or QuickBooks?

This is the real question behind most Business Central pricing searches. Business Central costs more per user than an accounting package, because it isn't one. Sage 50, Xero and QuickBooks record what has already happened to your money. Business Central runs the operational processes that generate those numbers, so purchasing, stock movements, project costs and sales orders post to the ledger automatically rather than being keyed in afterwards.

That means the honest answer depends on where your business is:

Stay on your accounting package ifBusiness Central is worth the spend if
You run a single company in a single currencyYou've added, or plan to add, a second entity
You hold little or no stockYou buy or sell in more than one currency
Your finance team is one or two peopleStock, jobs or projects drive your margins
Standard monthly reports tell you what you needYou need approval workflows and proper permissions
Nobody is exporting to Excel to get answersMonth-end depends on spreadsheet gymnastics

The clearest test is the spreadsheet one. If your finance team exports data every month and rebuilds the same workbook to produce management accounts, that workbook is already doing the ERP's job. The second is headcount: when businesses grow they usually add a person before they add a system, so if finance has doubled while the software hasn't changed, the software is the constraint.

Worth noting that some of the cost comparison isn't like for like. Multi-currency is an additional fee in Sage 50 and a premium tier in Xero, each extra company is an additional charge in QuickBooks, and updates in both Sage 50 and QuickBooks have to be purchased and installed. Those are included as standard in Business Central.

We've compared all of this properly rather than in passing:

Why Businesses Choose Truly SMB

Many organisations delay moving to ERP because they expect large upfront costs and complex projects. Almost everything about how we price and deliver Business Central is designed to remove that barrier.

The implementation approach is what makes it affordable

Fixed-price packs, no separate scoping fee and a typical go-live in around eight weeks. You know the cost before you sign, and you can add functional areas later as the business grows rather than paying to configure everything on day one. That's what puts a full ERP system within reach of an SMB budget.

We don't disappear at go-live

Go-live is the start of using Business Central properly, not the end of the project. Every customer is assigned a dedicated account manager they can always reach out to, alongside the support team for anything technical. New people join, processes change, and you'll want more of the platform over time – there's someone who knows your business to ask.

Where our experience comes from

Our story began with the founders of Bam Boom Cloud, a company recognised as Microsoft Partner of the Year for four consecutive years, which went global serving businesses across the UK, Germany, Canada and the US. Frequently Asked Questions

How much does Microsoft Business Central cost?

Business Central costs are made up of three separate things: a one-off implementation project, an ongoing monthly support plan and Microsoft's per-user licence subscription. At Truly SMB, implementation starts from £8,600 / $11,650, support plans start at £399 / $550 a month, and Microsoft Business Central Essentials licences are £61.50 / $80 per user per month paid annually (August 2026 – confirm current Microsoft pricing before budgeting).

How much does a Business Central implementation cost?

We price implementation as fixed-price packs. The Starter Implementation Package is from £8,600 / $11,650, and additional functional packs such as Inventory or Project Accounting are £4,200 / $5,700 each. A stock-selling business needing Starter plus Inventory would therefore be around £12,800 / $17,350.

What is the difference between Business Central Essentials and Premium?

Essentials covers financial management, sales, purchasing, inventory, warehouse management, project management and reporting at £61.50 / $80 per user per month. Premium adds Manufacturing and Service Management at £84.60 / $110 per user per month. Both prices are correct as at August 2026 and should be confirmed against Microsoft's current pricing. If your business doesn't manufacture products or run field service operations, Essentials is normally the more cost-effective option.

Do all users need a full Business Central licence?

No. The Team Member licence is £6.20 / $8 per user per month (August 2026) and is designed for employees who need limited access: reading information across Business Central, approving workflows, entering timesheets and expenses and updating certain records. Managers who only approve requests, shop floor and warehouse staff and directors who only need visibility of data are typical Team Member users.

Are there hidden costs with Business Central?

The costs that catch businesses out are usually scoping fees, change requests, training and third-party add-on products. Many partners charge a separate scoping or discovery fee of £20,000 to £50,000 before any of your system is built. Truly SMB doesn't – scoping, configuration, training and go-live support are all included in the fixed pack price. If a requirement needs a third-party app (an ISV), that carries its own licence fee on top of Microsoft's, so it's worth asking what it costs annually.

Is Business Central more expensive than Xero, Sage or QuickBooks?

Per user, yes, because it isn't the same kind of product. Sage 50, Xero and QuickBooks are accounting packages; Business Central is a full ERP system that includes accounting alongside inventory, projects, warehousing and reporting. Some of the comparison also isn't like for like: multi-currency is an additional fee in Sage 50 and a premium tier in Xero, each extra company is an additional charge in QuickBooks, and updates in both Sage 50 and QuickBooks must be purchased and installed. All of those are standard in Business Central.

How much does Business Central support cost?

Our support plans are Bronze at £399 / $550 a month, Silver at £699 / $950 a month and Gold at £999 / $1,350 a month. The right level depends on how many areas of Business Central you're using and how heavily the system has been customised.
