QuickBooks vs Business Central: how do they compare?
A practical comparison of QuickBooks and Microsoft Dynamics 365 Business Central for growing UK businesses, covering when QuickBooks serves you well and when you have outgrown it.
Both serve SMBs. Very differently.
Both QuickBooks and Business Central are marketed at small and medium businesses, but they are built for different stages of growth. QuickBooks is an excellent accounting tool for businesses starting out. Microsoft Dynamics 365 Business Central is a full ERP platform for businesses that need more structure, control and integration as they scale.
That distinction matters more than any single feature. An accounting package records what has already happened to your money. An ERP system runs the operational processes that create those numbers, so purchasing, stock movements, job costs and sales orders post to the ledger automatically rather than being keyed in afterwards.
These are the signs we see most often in businesses that have outgrown QuickBooks:
At what point does QuickBooks stop being enough?
Built for tracking, not scaling
- ×You are starting out or self-employed
- ×You just need to track cash in and out
- ×Standard pre-defined purchase and sales processes
- ×Basic out-of-the-box reporting is enough
- ×Easy to set up yourself, no build time
Built to grow with the business
- ✓You need structure around fiscal policy
- ✓Month-end closes and proper audit trails matter
- ✓Multi-currency and multi-company are required
- ✓Sub-ledgers for inventory and job costing
- ✓More people need access with proper security
If you answered yes to any of the signs above, it's a sign you've outgrown your current system. You need a solid base to build the rest of your organisation around.
Should you switch, or stay where you are?
Not every business on QuickBooks should move to Business Central. Being honest about that saves everyone time, so here is how we assess it.
- ×You run a single company in a single currency
- ×You hold little or no stock
- ×Your finance team is one or two people
- ×Standard monthly reports tell you what you need
- ×Nobody is exporting to Excel to get answers
- ✓You have added, or plan to add, a second entity
- ✓You buy or sell in more than one currency
- ✓Stock, jobs or projects drive your margins
- ✓You need approval workflows and permissions
- ✓Month-end depends on spreadsheet gymnastics
The clearest signal is usually the spreadsheet test. If your finance team exports data every month and rebuilds the same workbook to produce management accounts, you have already outgrown the system. That workbook is doing the ERP's job, badly, and it carries all the version-control and key-person risk that comes with it.
If you recognise several of these, our guide to the five signs you should switch to Business Central goes into more detail. The second clearest signal is transaction volume. QuickBooks starts to show performance issues with multiple concurrent users or above roughly 1,000 transactions a month, and the risk of database corruption grows as the file gets larger. Business Central has no transactional or user limits.

A typical move from QuickBooks.
Most businesses picture an ERP migration as a year-long project with a large consultancy bill attached. For a straightforward move off QuickBooks, that is not what happens.
Agree the chart of accounts
This is the single most important decision and worth doing properly. Most QuickBooks charts have grown organically over years. Business Central handles departmental and project analysis through dimensions instead, which usually means a simpler, shorter chart of accounts than the one you have now.
Decide what data actually migrates
Open balances, customer and supplier records and item lists come across as standard. Full transaction history usually does not, and does not need to. Your QuickBooks file stays accessible for historical queries, which keeps the migration clean and the new ledger uncluttered.
Configure, test, run in parallel
Your finance team reviews the configured system in a test environment before anything goes live. A short parallel run, typically two to four weeks, gives everyone confidence the numbers reconcile before QuickBooks is switched off.
Go live and extend later
Core finance goes live first. Inventory, projects or warehousing are added afterwards as separate fixed-price packs, once the team is comfortable and the data is clean. This is why the initial project takes weeks rather than months, as set out in our 90-day implementation guide.
The most common mistake we see is businesses trying to replicate every QuickBooks workaround in the new system. Those workarounds usually exist because the old software could not do something natively. Business Central often can, so rebuilding the workaround just carries the old constraint forward.
Switching from QuickBooks: common questions.
Is Business Central better than QuickBooks?
They solve different problems. QuickBooks is accounting software built for start-ups and small teams. Business Central is a full ERP that includes accounting plus inventory, jobs, warehousing and reporting. If you only need to track cash in and out, QuickBooks is fine. If you need multi-company consolidation, granular security, automated approvals or a proper financial audit trail, Business Central is the better fit.
When should we move from QuickBooks to Business Central?
The usual trigger points are adding a second legal entity, needing genuine multi-currency, hitting performance problems above roughly 1,000 transactions a month, or needing approval workflows and detailed user permissions. If your finance team is exporting to Excel to get the reports they need, that is another strong signal.
Can we migrate our data from QuickBooks to Business Central?
Yes. Migration from QuickBooks is one of the most common routes into Business Central. Open balances, customer and supplier records and item lists migrate as standard. We advise on which historical transactions are genuinely worth bringing across rather than moving everything.
How much does it cost to switch to Business Central?
Three costs: a fixed-price implementation pack, the Microsoft Dynamics 365 licence (per user, per month, set by Microsoft), and a monthly support plan. Many partners add a separate scoping fee of £20,000 to £50,000 on top. Truly SMB does not charge one, scoping is included in the pack price.
How long does it take to switch from QuickBooks?
For a standard finance-first implementation, around eight weeks from project start to go-live. Businesses that also need inventory, projects or warehousing typically add those as separate phases after the initial go-live rather than extending the first project.
Will our team need to relearn everything?
The core concepts of double-entry bookkeeping do not change, so an experienced QuickBooks user is not starting from zero. The bigger adjustment is process rather than screens, particularly around approvals and the fact that posted transactions cannot simply be deleted. Training is included in the implementation and delivered just before go-live, when it sticks.
We know switching is a big step.
What we offer are low risk, low-cost implementation projects, so you know what you are getting before you sign. Business Central is a complete ERP system, but you do not need to implement everything right away. With the Kickstart pack you can get up and running quickly on just the essentials, then add feature packs as your business grows.
The Microsoft licence cost is the same whoever implements it. What we remove is the large scoping fee other partners charge before they have built a thing.
